Phone numbers and email addresses are matched by TYPE in ImportOmatic (IOM) for the purpose of data updates on the existing Raiser's Edge (RE) record. This is versus using phone numbers and email addresses for Constituent matching where IOM always looks at the actual phone number/email address and a type match is not required.
These are the three most common scenarios that occur when importing phone numbers and email addresses using IOM. Specific examples are below.
- If a TYPE match is made between the existing RE record and the import data, IOM does compare the actual phone number/email address, and applies the rules in the profile under Addresses ---> Phones/Emails if the values are different. (Example #1)
- If a type match is NOT made between the existing RE record and the import data, then IOM does not compare the actual phone number/email address, and it adds a new entry. (Example #2)
- If Phone Hunter is turned on, then it behaves differently still. Phone Hunter = "Assign available matching phone type..." options in the Addresses ---> Phones/Emails section of the IOM profile. (Example #3)
Example 1
In RE on my record = Home 843-867-5309
In the import file for my record = Home 843-777-9311
The TYPES match, so IOM will compare the actual phone numbers and apply the rules in the IOM profile under Addresses ---> Phones/Emails if the values are different. This would be the same for an email address.
After import, my record will then show [Assuming IOM profile settings of: Update Existing + Move old value to an attribute of Archived Phone/Email]:
Home 843-777-9311
In an address attribute = Archived Phone/Email 843-867-5309
*If the values for the actual phone numbers had been the same, then my record would have been left unchanged. This would be the same for an email address.
Example 2
In RE on my record = Home 843-867-5309
In the import file for my record = Mobile 843-867-5309
IOM will import the Mobile phone number without making any further comparisons because the TYPES did not match between the existing RE record and the import data. This would be the same for an email address.
After import, my record will then show:
Home 843-867-5309
Mobile 843-867-5309
Example 3 - PHONE HUNTER TURNED ON
In RE on my record = Home 843-867-5309
In the import file for my record = Home 843-777-9311
The TYPES match. IOM will now compare the actual phone numbers, and apply the settings chosen for Phone Hunter if the values are different. Remember that you can't have both Phone Hunter and the settings in Example #1 chosen - it is either/or for these settings. This would be the same for an email address.
After import, my record will then show [Depending on the settings chosen for Phone Hunter and what value(s) were already in use on my record]:
