When setting up the query in BBCRM for integrating with other systems there are some requirements necessary.


1. To minimize repeating the same records, you must include at least one date filter in your query criteria. Later in this process, you will be given the opportunity to schedule the formula's frequency to coincide with your query's date filtering.  


When scheduling your formula in the Omatic Cloud, the following date filters are recommended in your BBCRM query to limit the need for you to update your queries in BBCRM between a formula scheduled run.  Otherwise you may inadvertently pull in duplicate data each time your formula pulls in new data.


Daily formula:  Use the date filter of yesterday in your BBCRM query for your date fields.  Each time the formula schedule executes the query will naturally pull records that have the date of yesterday in BBCRM for your date filters.

 


Weekly formula:  Use the date filter of Last week in your BBCRM query for your date fields.  Each time the formula schedule executes the query will naturally pull records from the previous week in your BBCRM based on the date fields chosen in your BBCRM query.



2. The system needs a sort field in order to organize the data for presentation. You can choose to sort by any field - last name, gift amount, etc.

3. Exclude records last updated by the Omatic Cloud user

4. Any other fields that are required for the destination, such as email address, first name, last name, etc.


Note: The BBCRM user must have rights to any fields included in the query. For example, if including attributes, the BBCRM user must have rights to attributes.
